Job Summary
The Customer Service Representative serves as the first point of contact for clients, ensuring a professional, friendly, and efficient customer experience. The role is responsible for welcoming visitors, managing client registration, responding to inquiries, processing payments, preparing invoices, and providing administrative support to ensure smooth daily operations within the medical center.
Key Responsibilities
- Welcome and register clients in a professional, friendly, and respectful manner.
- Provide accurate information regarding the organization's services, procedures, and appointments.
- Answer incoming telephone calls and respond to emails promptly and professionally.
- Direct clients to the appropriate departments or healthcare professionals.
- Receive payments, prepare invoices, and issue receipts accurately.
- Maintain accurate customer records and update client information as required.
- Handle customer inquiries, concerns, and complaints professionally and escalate complex issues when necessary.
- Provide administrative support including filing, documentation, and record management.
- Ensure the reception and customer service area remains organized and welcoming.
- Maintain confidentiality of client information and comply with company policies.
- Coordinate with other departments to ensure efficient service delivery.
- Perform other customer service and administrative duties assigned by management.
Educational Qualification
- Bachelor’s Degree in Marketing, Business Management, Accounting, or a related field from a recognized institution.
Experience Required
- Previous experience in customer service, front office, reception, or a similar role is preferred.
- Experience in customer account administration and handling customer inquiries and complaints is an added advantage.
Required Skills and Competencies
- Fluency in both English and Amharic (written and spoken).
- Excellent verbal and written communication skills.
- Strong customer service and interpersonal skills.
