Job Summary:
The Executive Assistant to the CEO provides high-level administrative and coordination support to the Chief Executive Officer. The role is responsible for managing executive schedules, coordinating meetings, preparing official communications, maintaining confidential information, and supporting effective decision-making processes. The position requires excellent organizational skills, professionalism, discretion, and the ability to work effectively with senior management and internal and external stakeholders.
Key Responsibilities:
- Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and business engagements.
- Coordinate executive meetings, prepare agendas, and ensure all required materials are available on time.
- Prepare accurate meeting minutes, follow up on action points, and monitor progress on assigned tasks.
- Draft, review, and manage executive correspondence, reports, presentations, and official documents.
- Assist in preparing management reports, board documents, and executive-level presentations.
- Maintain confidential records and handle sensitive business information with professionalism and discretion.
- Coordinate communication between the CEO, senior management, employees, clients, and external stakeholders.
- Organize travel arrangements, schedules, and logistics for executive activities when required.
- Support the CEO in tracking strategic initiatives, deadlines, and important organizational activities.
- Perform administrative and coordination tasks to improve the efficiency of the executive office.
Education:
- Bachelor’s Degree in Management, Business Administration, Secretarial Science, Office Administration, or a related field.
Experience:
- Minimum of 3–5 years of relevant experience as an Executive Assistant, Senior Secretary, Executive Office Coordinator, or similar administrative support role.
- Experience in calendar management, executive correspondence, meeting coordination, preparation of management meeting minutes, board documentation, and executive reports is required.
Required Skills and Competencies:
- Excellent written and verbal communication skills in English and Amharic.
- High level of professionalism, confidentiality, and ability to handle sensitive information.
- Strong organizational and time-management skills with attention to detail.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Excellent coordination, interpersonal, and relationship management skills.
- Ability to work independently while providing effective support to senior executives.
- Previous experience supporting CEOs, executives, or senior leadership teams is highly preferred.
