Job Summary:
The Human Resource Officer is responsible for effectively managing and supporting the organization's human resource administration activities in accordance with company policies, procedures, and Ethiopian Labour Law. The role focuses on maintaining employee records, supporting recruitment and onboarding processes, monitoring attendance, managing HR documentation, and providing administrative support to employees while ensuring confidentiality and compliance with HR standards.
Key Responsibilities:
- Maintain and update employee personnel files and HR records in both physical and electronic formats.
- Handle employee administrative requests in accordance with organizational policies and HR procedures.
- Support recruitment, selection, hiring, and employee onboarding processes.
- Monitor probationary employees, prepare evaluation documents, and process employment confirmation letters.
- Manage pension registration processes and maintain related employee documentation.
- Prepare employment certificates, experience letters, verification letters, and other HR-related documents.
- Monitor attendance systems, employee schedules, leave records, and shift arrangements.
- Prepare weekly and monthly attendance reports and ensure data accuracy.
- Monitor unauthorized absences, lateness, and attendance-related issues and report findings to management.
- Review and process overtime requests before submission to the Finance Department.
- Coordinate communication related to interviews, employee training, and HR activities.
- Support employee performance evaluation processes and maintain appraisal records.
- Update employee information and generate HR reports using HR ERP systems.
- Maintain strict confidentiality of employee information and HR documentation.
- Perform other HR-related duties assigned by the immediate supervisor.
Required Skills and Competencies:
- Proficiency in Microsoft Word, Excel, and other MS Office applications.
- Experience using HR ERP systems and employee management software.
- Strong skills in personnel records management and documentation.
- Good report writing and administrative skills.
- Excellent communication and interpersonal skills.
- Ability to work effectively both independently and within a team environment.
- Good understanding of the Ethiopian Labour Proclamation and employment regulations.
- Strong attention to detail, organization, and confidentiality.
Educational Qualification:
- Bachelor’s Degree from a recognized university or college in Human Resource Management, Management, Business Administration, or a related field.
Experience:
- Minimum of three (3) years of relevant work experience in Human Resource Administration or a related HR position.
