Office Administrator / Sr. Secretary

 Key Duties:

• Provide high-level administrative and secretarial support to the CEO
• Serve as the first point of contact for internal and external stakeholders
• Manage the CEO’s calendar, appointments, meetings, and travel arrangements
• Prepare meeting agendas, record minutes, and follow up on action points
• Draft and manage executive correspondence, reports, and presentations
• Screen and prioritize calls, emails, and visitors to ensure effective time management
• Maintain strict confidentiality and handle sensitive information with professionalism
• Act as a liaison between the CEO, senior management, and external partners
• Coordinate executive office logistics, supplies, and facility requirements
• Support HR/Admin in onboarding processes and executive-level events
• Maintain organized digital and physical filing systems
• Ensure timely submission and proper documentation of reports and records

Qualifications:

• Bachelor’s Degree in Business Administration, Office Management, or a related field
• 2 years & above of experience in executive secretarial or administrative roles
• Prior experience supporting senior management or C-level executives is required
• Excellent organizational, time management, and multitasking skills
• Strong written and verbal communication skills
• Proficiency in MS Office, ERP systems, and digital collaboration tools
• High level of discretion, professionalism, and confidentiality
• Strong interpersonal and diplomatic communication skills
