The Procurement Assistant is expected to assist requisitioning units on the full range of Procurement issues, providing support and guidance at all stages of the procurement cycle. Responsibilities include:
- Preparing and distributing solicitations
- Managing all aspects of the process until the case file is duly closed
- Handling payments for Goods and Services delivered
Expected Duration
Duration: 9 months
Duties and Responsibilities
Under the direct supervision of the Chief of Procurement and the overall direction of the Chief of Section, the Individual Contractor will be responsible for the following duties:
- Reviewing, recording, and prioritizing complex purchasing requests
- Identifying and recommending sources of procurement
- Preparing abstracts of offers and compiling data from quotations
- Negotiating terms and conditions of orders
- Preparing draft contracts/agreements
- Assisting in raising Purchase Orders
- Maintaining relevant internal databases and files
- Researching and presenting information on sources of supply
- Drafting a variety of correspondence
- Resolving issues related to delivered goods
- Performing other duties as assigned
Qualifications/Special Skills
- High School Diploma is required
- Degree in Procurement/Business Administration/Accounting is an asset
- Additional training in IPSAS & Umoja on procurement and logistics is an advantage
- At least seven years of progressively responsible experience in procurement/business administration/accounting or IT is required
- Desirable experience in procurement-related software and database management
- Experience with UN’s internal procurement policies is an asset
