Job Summary
The Receptionist is the first point of contact for patients and visitors. The role is responsible for providing professional, courteous, and efficient front-desk services, ensuring smooth patient flow, accurate registration, appointment coordination, and proper communication between patients and clinical staff, in line with the clinic’s policies and healthcare standards.
Key Responsibilities
Front Desk & Patient Services
- Greet patients, visitors, and vendors in a polite, professional, and welcoming manner.
- Register patients accurately and create or update patient records.
- Guide patients through clinic procedures and direct them to the appropriate service areas.
Appointment & Schedule Management
- Schedule, confirm, and manage patient appointments.
- Coordinate patient flow to minimize waiting time and support efficient clinic operations.
- Communicate appointment changes or delays to patients and relevant staff.
Billing & Cash Handling (if applicable)
- Prepare invoices and receipts for services rendered.
- Collect payments and ensure proper cash handling and daily reconciliation.
- Coordinate with finance or administration for reporting and documentation.
Communication & Coordination
- Answer phone calls, respond to inquiries, and provide accurate information about clinic services.
- Coordinate with nurses, doctors, laboratory, and pharmacy staff regarding patient needs.
- Receive and distribute messages, documents, and referrals appropriately.
Records & Documentation
- Maintain organized and confidential patient files (physical and/or electronic).
- Ensure accuracy and completeness of registration and appointment records.
- Follow data protection, confidentiality, and clinic SOPs at all times.
Administrative & Operational Support
- Maintain cleanliness and orderliness of the reception and waiting area.
- Monitor availability of front-office supplies and request replenishment as needed.
- Support administrative tasks and reporting as assigned by management.
Qualifications & Experience
- Diploma or Certificate in Office Administration, Secretarial Science, or a related field.
- Prior experience as a receptionist or front-desk officer in a clinic or healthcare setting is preferred.
- Basic knowledge of medical or clinic operations is an advantage.
