Job Summary
The job holder is responsible for supporting the efficient operation of the chief. Responsibilities include:
- Handling a wide range of administrative tasks
- Maintaining confidentiality
- Ensuring compliance with legal and regulatory requirements
Roles and Responsibilities
- Coordinate, organize, and assist with correspondence
- Answer, screen, and direct phone calls and messages
- Arrange meeting rooms, equipment, and catering services as required
- Schedule and coordinate appointments, meetings, and events for the chief
- Ensure that the chief’s calendar is efficiently organized, minimizing conflicts
- Act as a primary point of contact for the chief, screening and managing phone calls and emails
- Maintain organized and up-to-date physical and digital filing systems for important documents
- Manage office supplies, equipment, and ensure a clean workspace
- Coordinate with various departments to facilitate smooth communication and workflow
- Handle sensitive and confidential information with discretion
- Demonstrate a professional appearance and mannerisms
- Ensure that assignments are performed based on priority
- Carry out administrative duties such as filing, typing, copying, etc.
- Prepare and file legal and regulatory documents as required
- Handle petty cash and its timely settlement
- Perform any other tasks as assigned by the supervisor
Required Educational Background and Work Experience
- Bachelor’s degree in Management Information Systems, Administrative Management, Secretarial Science, or a related field with three years of relevant experience.
