Job Opportunity: Roving Support Services Team Leader
The Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified Roving Support Services Team Leader for our operations in Addis Ababa Country Office.
About the Job
Under the direct supervision of the Head of Support Services, the Support Services Team Leader provides management support to DRC field operations by:
- Leading key support staff to ensure effective and efficient provision of supply chain, finance, human resources, and administrative services.
- Ensuring compliance with the DRC Operations Handbook and Program Manual.
- Adhering to donor guidelines.
Main Duties and Responsibilities
Your main duties will include:
- Management: Provide line management and leadership to support staff.
- System Development: Lead the development and implementation of systems for each department/unit under Support Services.
- Safety Protocol: Participate in the amendment and implementation of the Safety Protocol.
- Performance Management: Supervise staff in the Support Services section.
- Compliance: Ensure full compliance with DRC’s operations handbook and donor policies.
- Accountability: Manage people in support services and ensure work plans are implemented on time.
Finance (50%)
Key responsibilities include:
- Accounting: Ensure high-quality day-to-day accounting of the field office's spending.
- Budget Maintenance: Maintain and monitor a system for accruals and outstanding payments.
- Financial Reports: Support the finance team in preparing financial reports and audits.
- Financial Analysis: Lead monthly financial review meetings with budget holders.
- Compliance: Ensure adherence to all DRC internal policies and local laws.
Human Resources (30%)
Responsibilities include:
- Internal HR Duties: Track staff attendance, leave requests, and manage contracts.
- External HR Duties: Post vacancies and conduct recruitments.
- Inductions: Plan and deliver inductions for new staff.
Administration (10%)
Key tasks include:
- Lease Management: Manage leases at the field level.
- Utility Payments: Ensure timely payment of utilities.
- Travel Arrangements: Manage travel arrangements for field staff.
- Communication: Handle correspondence and maintain records.
Supply Chain (10%)
Responsibilities include:
- Supply Chain Systems: Ensure implementation and quality of DRC’s supply chain systems.
- Procurement Procedures: Monitor procurement procedures for compliance.
- Vehicle Management: Develop controls over vehicle use and maintenance.
Experience and Technical Competencies
Candidates should have:
- Experience: 3 years in Support Services functions in INGOs.
- Management Skills: Proven management skills and competence in people management.
- Financial Knowledge: Sound knowledge of cost planning and budgeting.
- Technical Skills: Excellent skills in MS Word, Excel, and PowerPoint.
Education
Bachelor’s or Advanced Degree in:
- Accounting
- Procurement & Supply Chain Management
- Business Administration
Language Requirements
Fluent in written and spoken English. Knowledge of Somali, Tigrigna, or Afar is an additional advantage.
